Holding inventory in a tropical climate with an unreliable grid is a different problem to keeping one vial in a fridge. Storage and handling of research material, and nothing else.
What this covers and what it does not
This is about storage and handling of research material held as inventory. It covers where things sit, at what temperature, for how long, and what to do when the power goes off.
It does not cover reconstitution volumes, dosing, administration or anything downstream of holding stock, because none of that is within what this business supplies or advises on. Everything here is research use only.
The reason it needs writing at all is that most storage guidance available online was written for a temperate climate and a stable grid. Neither applies here, and the differences are not marginal.
Sealed lyophilised powder is the easy case
An unopened lyophilised vial is a dry solid in a sealed container under vacuum. This is the most stable form the material will ever be in, and it is considerably more robust than people expect.
A freezer is the right place for anything you are holding for months. A fridge is acceptable for stock you expect to move within a shorter horizon, and sealed powder tolerates that comfortably. Short periods at room temperature during transit are not a crisis, which is why parcels arrive in usable condition.
What actually degrades sealed powder is moisture and repeated temperature cycling, not a single warm afternoon. That has a practical consequence most people get backwards: taking vials out of the freezer and putting them back repeatedly is worse than leaving them in the fridge continuously. If you are drawing from your stock weekly, the fridge is the better home for the working portion, with the freezer holding the reserve you are not touching.
Reconstituted vials are a different problem
Once a vial has gone into solution the situation changes completely. It is now a liquid, it is no longer sealed, and it has a meaningfully shorter horizon.
A reconstituted vial belongs in the fridge, and it should not be frozen. Freezing a solution is not a way of extending it. The freeze-thaw cycle is itself the damaging event, and a solution that has been frozen and thawed is in worse condition than one that was simply kept cold, which is the opposite of what intuition suggests.
This is also where labelling stops being administrative and starts being the whole game, and it is why blank labels ship in every order. A reconstituted vial in a fridge with nothing written on it is an unknown. What it is and when it was made up exist only in the memory of whoever did it, and a week later there are several vials and a guess. Write it on the vial at the moment you make it up, not later.
The Manila-specific part: ambient temperature
Storage guidance written for a temperate climate quietly assumes that room temperature means roughly twenty degrees and that the gap between a fridge and a room is manageable. Neither holds here.
A room in Metro Manila without air conditioning sits well above that for most of the year, and the inside of a parked car or a delivery bag is far higher again. The practical implication is that the transitional moments matter more here than the storage itself. Stock sitting on a counter while you deal with something else is exposed to a much steeper gradient than the same counter in a cooler climate.
The habit worth building is that stock goes back immediately rather than at the end of the task. Not because a few minutes is dangerous, but because a few minutes reliably becomes an hour when something interrupts you, and in this climate an hour on a counter is not the same as an hour on a counter elsewhere.
Which fridge, and why it is not the obvious one
For anyone holding meaningful stock, a small dedicated unit beats a larger shared one, and the reason is traffic rather than capacity.
A fridge that is opened forty times a day cycles its internal temperature constantly. Every opening admits warm humid air, the compressor works against it, and the contents ride that cycle. A treatment room fridge or a shared office fridge is opened far more than a dedicated one, so the stock inside it experiences many more thermal transitions even though the set temperature reads identically.
For a clinic this is the single most useful thing to get right, and it is cheap. A small dedicated unit for stock, separate from anything anyone opens routinely, removes most of the variability without any process change. Supply detail for practices is on clinic and med spa supply.
Position matters too. A unit against a wall in an unventilated corner works harder and holds less steadily than one with clearance around it, which is a bigger factor in a hot climate than in a cold one.
Moving stock between locations
Transport is where held inventory is most exposed, and it is the part that gets the least thought because it feels incidental.
The principle is straightforward: insulated container, cold pack not in direct contact with the vials, and the shortest practical elapsed time. A cold pack against glass can take vials colder than intended, so something between them matters. Sealed powder tolerates a transfer comfortably. Reconstituted vials are the ones to be careful with, and the honest advice is to avoid moving them at all where the alternative exists.
The specific local hazard is the vehicle. A car parked in the sun becomes an oven, and a bag left in one during a stop is the worst environment stock will encounter in its whole life, considerably worse than the courier network it arrived through. Stock travels with you, not in a boot, and it does not wait in the car while you do something else.
Brownouts and power interruption
The grid here is not uniformly reliable, and anyone holding stock long enough will eventually deal with an outage.
The good news is that a closed fridge or freezer holds its temperature for a surprisingly long time. A full unit holds longer than an empty one, because the mass itself is thermal ballast. Water bottles or gel packs filling the empty space in a partly used freezer are a free and genuinely effective contingency.
The rule during an outage is that the door stays shut. Every opening during a brownout costs far more than the same opening with power on, because nothing is recovering the loss afterwards. The instinct to check on the contents is exactly the thing that damages them.
For a short outage, do nothing. For a long or repeated one, sealed lyophilised powder is far more forgiving than anything reconstituted, which is a good argument against reconstituting more than you are about to use. Holding stock as sealed powder for as long as possible is the most robust position against an unreliable grid, and it costs nothing.
What good practice looks like for a reseller
Holding inventory is the trade, so the storage is not incidental to the business, it is part of the product.
Sealed powder as the default holding state. A dedicated unit rather than a shared one. Stock rotated so the oldest moves first, which needs nothing more sophisticated than putting new stock behind old. Batch numbers recorded against what you received, because they are the only thing that makes a specific vial traceable if a question comes back later.
